Put Staff Alert -
If missing – eg Need Profile Photo/consent/Groupon ‘redeemed’ photo
Treatment Data Cleanup
Does Visit History match the # of Treatments Received?
Visit History must match # of Treatments Received
Go to Acct Details Tab (click Show visits to the far right) and find out how many Tx remaining.
Also go to Purchase Tab if needed.
Then go to Schedule tab > change start date to relevant time frame eg 2 yrs ago.
Then go to Contact Log and read ALL ‘Medical’ contact logs
Find out if there is discrepancy b/w contact log AND Visits completed.
If yes – Fix it by putting in appn that was missing and checking out (contact corporate)
Common Errors –
Are ‘Medical’ Contact logs accurate?
Medical Contact logs must be accurate
Contact log type – Be sure to check the box eg ‘Medical’

% improvement missing

For Burn eg Burn-Chin-2-20-20
For Hair Free eg HF-BBE 2-25-20
Is % Improvement accurate and does it Match with RxPhoto?
See section on Treatment Progress Check
Is future appointment Schedule accurate?
Schedule (Future appointments) must be accurate –
Add tx that need to be ‘add on’ and remove ones that shouldn’t be on
Make sure tx schedule date is accurate per protocol – not too soon or too late.
Especially make sure next appn is according to FS protocol
Common Errors –
- Client Info Tab =
- left column = text boxes checked
- middle column = Profile Photo, Referral Type
- right column = Address any Staff Alerts, Notes
- Purchase Tab = is it 3rd Party (Cherry,PatientFi, Varidi) or Groupon?
- Account Detail Tab = Confirm No Balance Due/Red Ticket
- Documents Tab = Need Consent AND Groupon ‘redeemed’ Photo on file
- Schedule & Visit Tab = Check everything looks good
- Contact Log = Read all contact logs from oldest to newest

- Contact log – Tx # was wrong on one CL so all subsequent CL’s had wrong Tx #
